1. Our commitment

SpaceSave respects privacy and processes personal information in accordance with the Protection of Personal Information Act and other applicable law.

We do not sell or rent customer contact lists to advertisers.

2. Personal information we may collect

Depending on how you interact with us, we may collect:

  • name and surname;
  • telephone number and email address;
  • billing and delivery addresses;
  • account login and profile information;
  • order and transaction history;
  • payment status and limited payment information;
  • refund banking information where necessary;
  • company name, registration and VAT information;
  • customer-service communications;
  • competition entries and marketing preferences;
  • product reviews, photographs and other submitted content;
  • IP address, browser, device and website-usage information;
  • cookie and advertising identifiers;
  • fraud-prevention and security information; and
  • information required to process a custom order.

We do not intentionally collect complete card details where payment is handled by an external payment provider.

3. How information is collected

We collect personal information directly from you; when you place an order or create an account; through contact, return and newsletter forms; when you communicate with us; through cookies and similar technologies; from payment providers and couriers; from advertising or lead-generation platforms where lawfully permitted; and from public sources where appropriate.

4. Why we process personal information

We may process information to create and manage customer accounts; process orders and payments; manufacture or customise products; deliver orders; handle returns, warranties and complaints; prevent fraud and protect our systems; maintain accounting, tax and transaction records; provide customer support; improve the website and product range; understand website and campaign performance; display customer reviews; comply with legal obligations; establish or defend legal rights; and send marketing where lawfully permitted.

5. Lawful grounds

Depending on the processing activity, we rely on performance of a contract, compliance with a legal obligation, consent, protection of legitimate interests, fraud and security prevention, or another lawful basis permitted under POPIA.

Consent is not treated as the basis for processing where another appropriate lawful basis applies.

6. Marketing

Marketing consent is optional and separate from purchasing.

We may send electronic marketing where you have consented, or applicable law permits us to market similar products to an existing customer.

Every electronic marketing message will provide a reasonable way to unsubscribe.

You may withdraw consent or object to direct marketing at any time by using the unsubscribe link, contacting info@spacesave.co.za or updating your communication preferences where available.

Opting out of marketing does not stop transaction-related communications.

7. Who receives personal information

We will never sell your information.

We may share information only where reasonably necessary with website, hosting and technical-service providers; payment gateways and financial institutions; couriers and logistics providers; email, SMS and customer-communication platforms; analytics and advertising providers; fraud-prevention and security providers; accountants, auditors and professional advisers; insurers; regulators and government authorities where required by law; consumer ombuds, alternative dispute-resolution bodies, regulators and tribunals where information is reasonably required to investigate or resolve a complaint or comply with the law and suppliers or manufacturing partners involved in fulfilling an order.

Depending on the website configuration and services used at the relevant time, these providers may include WooCommerce service providers, payment providers, delivery partners, Omnisend, as well as encrypted data to Google and Meta.

We require service providers to process information only for authorised purposes and to apply appropriate safeguards.

8. International processing

Some service providers may process or store information outside South Africa.

Where personal information is transferred outside South Africa, SpaceSave will take reasonable steps to ensure that the recipient is subject to appropriate legal, contractual or organisational safeguards as required by POPIA.

9. Retention

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected; contractual and customer-service requirements; tax, accounting and legal obligations; warranty and dispute periods; fraud prevention; and establishing or defending legal rights.

Information that is no longer required will be securely deleted, destroyed, de-identified or restricted where appropriate.

10. Security

We maintain reasonable technical and organisational safeguards designed to protect personal information from loss, unauthorised access, unlawful processing, alteration, disclosure and destruction.

No internet-based system can be guaranteed to be completely secure.

Where a security compromise triggers a legal notification duty, SpaceSave will notify the Information Regulator and affected persons as required by law.

11. Your rights

Subject to applicable law, you may ask whether we hold your personal information; request access to it; request correction or updating; request deletion or destruction where permitted; object to certain processing; withdraw consent; object to direct marketing; request restriction of certain processing; and lodge a complaint with the Information Regulator.

We may require reasonable proof of identity before processing a request.

Formal record-access requests may need to follow the procedure in our PAIA Manual.

12. Cookies and similar technologies

Cookies are small files or identifiers stored on or accessed from a user’s device.

We may use strictly necessary cookies for shopping carts, checkout, security, fraud prevention, account login and remembering privacy choices; functional cookies to remember preferences; analytics cookies to understand website use and performance; and advertising cookies to measure advertising, create audiences and show more relevant advertising.

Where required, non-essential cookies will be activated only after the user has made an appropriate consent choice.

13. Managing cookies

Users can manage non-essential cookie preferences through the website’s cookie settings where available.

Browser settings can also block or delete cookies. Blocking necessary cookies may affect checkout and other website functions.

Withdrawing cookie consent does not affect processing that occurred lawfully before withdrawal.

14. Third-party websites

The website may link to third-party sites. SpaceSave is not responsible for the privacy or security practices of websites outside its control. Customers should review the relevant third-party policy before providing information.

15. Children

The website and products are not directed at children who are legally incapable of entering into an agreement.

We do not knowingly collect children’s personal information without appropriate authorisation where such authorisation is required.

16. Privacy complaints

Privacy complaints should first be submitted to SpaceSave’s Information Officer, Erla Rapsch, using the contact details in this policy.

You may also lodge a complaint with the Information Regulator of South Africa.

17. Changes to this policy

We may update this policy to reflect legal, operational or technology changes.
